Key Responsibilities

Interview Scheduling & Candidate Logistics

  • Coordinate high-volume interview schedules across multiple time zones with precision and speed.
  • Act as the scheduling liaison between candidates, hiring managers, and interviewers
  • Send out calendar invites, Zoom/Meet links, and detailed prep instructions
  • Maintain strong follow-up systems to ensure candidates remain informed and engaged

Elevating the Candidate Experience

  • Serve as the first point of contact for candidates, providing timely and personalized communication.
  • Anticipate candidate needs and provide guidance or resources that reduce friction during the hiring journey.
  • Promote an inclusive, welcoming tone in all touchpoints—emails, updates, and virtual interactions.
  • Handle sensitive candidate information discreetly and professionally

ATS & Data Management

  • Enter and maintain accurate applicant data in our Applicant Tracking System (ATS)
  • Generate pipeline reports, flag process delays, and suggest next steps to keep hiring on track.
  • Collaborate with recruiters to ensure up-to-date status across candidate records.
  • Support offer coordination and documentation collection post-hiring decisions

Workflow Optimization & Internal Support

  • Partner with recruiters and HR specialists to streamline internal recruiting systems
  • Identify and troubleshoot bottlenecks or inefficiencies in scheduling and communication.
  • Help maintain SOPs and update internal guides on recruiting processes
  • Contribute to hiring team meetings by offering updates, insights, or flagged concerns

Skills & Experience Requirements

Professional Experience

  • Minimum 1 year of experience in recruitment coordination, HR operations, or talent acquisition support
  • Experience supporting remote or distributed teams is highly preferred
  • Proven success managing multiple calendars, time zones, and priorities with minimal supervision

Technical Competency

  • Strong familiarity with ATS tools and HR systems
  • Comfortable using digital collaboration platforms and remote work apps
  • Ability to analyze scheduling trends or data to forecast needs
