Responsibilities and Duties

Benefits Management

  • Coordinate and manage comprehensive employee rewards programs, including medical coverage, optical assistance, wellness protection, income safeguard, and retirement savings plans to ensure accuracy and efficiency
  • Serve as the main point of contact for all internal employee benefits-related inquiries and external vendor communications
  • Maintain and audit up-to-date and confidential benefits records, documents, and enrollment data
  • Oversee enrollments, terminations, and any benefit coverage modifications promptly
  • Monitor rewards trends and propose program improvements to enhance employee satisfaction

Compliance and Documentation

  • Ensure all benefits-related procedures are executed in compliance with federal, state, and international labor laws
  • Prepare and submit compliance reports, including ACA filings, COBRA documentation, and ERISA requirements
  • Perform regular audits to confirm data integrity and minimize errors in processing
  • Keep accurate logs of plan documentation and vendor agreements in compliance with internal and external audits

Vendor Coordination

  • Liaise with third-party administrators and benefit carriers to handle plan renewals, escalated issues, and process improvements
  • Manage open enrollment cycles, including planning, communication, and troubleshooting with vendors
  • Coordinate virtual benefits events, Q&A sessions, and wellness program rollouts for remote employees
  • Collaborate on contract evaluations and cost analyses to optimize offerings within budget

Employee Communication

  • Design and deliver benefits education sessions for new hires, annual open enrollment, and ongoing updates
  • ✍️ Create concise, easy-to-understand benefits guides, FAQs, policy briefs, and intranet content
  • Provide one-on-one assistance for benefits selection during life events such as marriage, childbirth, or relocation
  • Champion benefits awareness campaigns that boost engagement and reinforce the value of offered plans

Ideal Candidate Profile

Qualifications and Background

  • Bachelor’s degree in Human Resources, Business Administration, or a similar field preferred
  • Minimum of 2-4 years of experience in benefits or total rewards administration in a corporate or remote setting
  • In-depth understanding of HR laws, benefits compliance, and regulatory standards, including HIPAA, ERISA, and FMLA

Technical Skills

  • Demonstrated proficiency with HRIS platforms, benefits enrollment tools, and Microsoft Office Suite
  • Experience with Excel or Google Sheets for data analysis, benefits reconciliation, and reporting
  • Knowledge of payroll and accounting systems integration is a plus
