Key Responsibilities

Executive Support

• Manage executive calendars, schedule meetings, and coordinate appointments.
• Handle email correspondence, screen calls, and manage communications on behalf of executives.
• Prepare reports, presentations, and documents to support business activities.
• Assist with travel arrangements, itinerary planning, and accommodations.
• Track key business metrics and provide timely updates to executives.

Transaction Coordination

• Oversee document preparation, contract management, and compliance for real estate transactions.
• Work with agents, buyers, sellers, and lenders to ensure timely completion of transactions.
• Maintain accurate records and documentation related to listings, contracts, and agreements.
• Coordinate property inspections, appraisals, and closings.

Market Research & Analysis

• Conduct property research and comparative market analysis to assist in pricing and listing decisions.
• Analyze real estate trends, industry insights, and investment opportunities.
• Prepare reports and presentations based on market data to support executive decision-making.
• Monitor local and national real estate developments to keep executives informed.

Client Relations & Communication

• Act as the primary point of contact for clients, vendors, and partners.
• Maintain relationships with key stakeholders, including brokers, property managers, and contractors.
• Handle inquiries and provide excellent customer service to clients.
• Assist in resolving client concerns and ensuring satisfaction.

Administrative & Operational Support

• Manage databases, CRM software, and property management tools.
• Maintain and organize electronic files, contracts, and transaction documents.
• Oversee office operations, virtual assistant coordination, and workflow management.
• Create and update internal business process documentation.

Marketing & Social Media Support

• Assist in developing and executing digital marketing strategies for real estate listings.
• Create, edit, and manage property listings across multiple platforms.
• Coordinate marketing campaigns, email newsletters, and promotional materials.
• Oversee social media accounts and engage with online audiences.

Qualifications & Skills

Experience & Expertise

• Minimum of 3+ years of experience in an executive assistant role, preferably in real estate.
• Strong understanding of real estate processes, documentation, and transaction coordination.
• Experience working with executives, managing confidential information, and handling high-pressure tasks.

Technical Proficiency

• Proficiency in CRM software, Microsoft Office Suite, Google Workspace, and project management tools.
