Location: Remote Annual Salary: $51,185 Job Overview: We seek a detail-oriented and highly organized Remote Payroll Clerk to join our team. The ideal candidate will have a strong background in payroll processing and a keen eye for accuracy. As a Remote Payroll Clerk, you will manage payroll processes for a diverse workforce and ensure employees are paid correctly and on time. This role requires exceptional communication skills and working independently while maintaining strict confidentiality. Key Responsibilities:
  1. Payroll Processing:
    • Process payroll for a large number of employees on a bi-weekly or monthly basis, ensuring accuracy and compliance with company policies and relevant laws.
    • Calculate and verify wages, deductions, and benefits to ensure accurate paychecks.
    • Address and resolve any discrepancies or issues related to payroll promptly.
  2. Data Entry and Maintenance:
    • Enter and maintain employee information in the payroll system, including personal details, tax information, and direct deposit accounts.
    • Update payroll records for new hires, terminations, promotions, and other changes in employment status.
    • Ensure all data entered is accurate and up-to-date.
  3. Compliance and Reporting:
    • Ensure compliance with federal, state, and local labor laws and regulations.
    • Prepare and submit payroll tax reports, including federal and state tax filings, and ensure timely payment of payroll taxes.
    • Generate and analyze payroll reports to identify trends, discrepancies, and areas for improvement.
  4. Employee Support:
    • Serve as a point of contact for employees regarding payroll inquiries, including questions about paychecks, deductions, and tax withholdings.
    • Assist employees with resolving payroll-related issues and guide payroll procedures.
    • Handle sensitive information with discretion and confidentiality.
  5. System Management:
    • Utilize payroll software and systems effectively to ensure efficient processing and accurate record-keeping.
    • Troubleshoot system issues and work with IT support to resolve technical problems.
    • Stay updated on software upgrades and new features to enhance payroll processing efficiency.
  6. Document Management:
    • Maintain and organize payroll records, including time sheets, pay stubs, and tax forms.
    • Ensure all documentation is stored securely and complies with company policies and legal requirements.
    • Assist with audits and provide documentation as needed.
  7. Process Improvement:
    • Identify opportunities for streamlining payroll processes and implementing best practices.
    • Recommend and help implement changes to improve efficiency and accuracy in payroll processing.
    • Stay informed about industry trends and changes in payroll regulations to ensure the organization remains compliant.
Qualifications:
  • Education: A high school diploma or equivalent is required; an associate’s or bachelor’s degree in accounting, finance, or a related field is preferred.
  • Experience: Minimum of 2-3 years of experience in payroll processing or a similar role.
  • Technical Skills: The candidate must be Proficient in payroll software and the Microsoft Office Suite (Excel, Word, Outlook). Experience with HRIS systems is a plus.
  • Knowledge: Strong understanding of payroll laws, regulations, and best practices. Familiarity with tax reporting and compliance requirements.
  • Skills: Exceptional attention to detail, strong organizational skills, and the ability to effectively manage multiple tasks and deadlines. Excellent communication and interpersonal skills.
  • Traits: High level of integrity and discretion in handling confidential information. Ability to work independently and as part of a remote team.
Working Conditions:
  • Schedule: This is a full-time position with flexible hours, though availability during standard business hours is required for collaboration and support.
