Remote Payroll Coordinator
Location: Remote Salary: $61,141 annually Job Summary: We seek a highly organized and detail-oriented Payroll Coordinator to join our remote team. As a Remote Payroll Coordinator, you will ensure accurate and timely payroll processing, maintain compliance with federal and state regulations, and provide exceptional employee support. Key Responsibilities:- Payroll Processing:
- Administer bi-weekly and monthly payrolls for employees across various states.
- Accurately calculate and process employee wages, bonuses, commissions, and deductions.
- Ensure timely and accurate submission of payroll data to relevant financial systems.
- Review and reconcile payroll discrepancies and resolve issues promptly.
- Compliance and Reporting:
- Ensure compliance with federal, state, and local payroll regulations and labor laws.
- Prepare and submit mandatory payroll reports, including tax filings and other statutory documentation.
- Maintain up-to-date knowledge of changes in payroll laws and regulations to ensure adherence.
- Employee Support:
- Respond to employee inquiries regarding payroll, benefits, and tax-related questions.
- Provide clear and concise explanations of payroll policies and procedures.
- Assist with payroll-related issues and facilitate resolutions promptly.
- Record Keeping:
- Maintain accurate and confidential payroll records and employee files.
- Track and manage timekeeping records, ensuring proper documentation for payroll processing.
- Perform periodic audits of payroll records to ensure accuracy and compliance.
- System Management:
- Utilize payroll software and systems to process payroll and maintain employee records.
- Troubleshoot system issues and collaborate with IT support to resolve technical problems.
- Recommend and implement improvements to payroll processes and systems for greater efficiency.
- Tax and Benefits Administration:
- Administer payroll tax calculations and deductions, including federal and state income taxes, Social Security, Medicare, and unemployment insurance.
- Manage employee benefit deductions, including health insurance, retirement plans, and other voluntary benefits.
- Ensure accurate reporting and timely payment of payroll taxes and benefits contributions.
- Data Analysis and Reporting:
- Generate and analyze payroll reports to provide insights into payroll trends and patterns.
- Prepare summary reports for management review and support financial planning and budgeting activities.
- Assist with year-end reporting and reconciliation processes, including W-2 and 1099 preparation.
- Education and Experience:
- An associateβs or bachelorβs degree in accounting, finance, business administration, or a related field is preferred.
- Minimum of 2-3 years of experience in payroll processing, preferably in a remote or virtual environment.
- Certification in payroll processing (e.g., Certified Payroll Professional) is a plus.
- Skills:
- Strong understanding of payroll procedures, tax regulations, and compliance requirements.
- Proficient in payroll software and systems, such as ADP, Paychex, or similar platforms.
- Excellent analytical and problem-solving skills, with attention to detail and accuracy.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Exceptional communication skills, both written and verbal, with the ability to interact professionally with employees and management.
- High level of confidentiality and integrity when handling sensitive payroll information.
