Most bookkeeping teams run on habit — the same process every month, whether it still fits the client or not. We're hiring a Director of Virtual Bookkeeping to change that, someone who can lead a remote team, rebuild the workflows that need it, and give business owners one less thing to worry about.

The Role

You'll take ownership of how a distributed bookkeeping team operates, from the tools they use to the way clients experience the work. This isn't a maintenance role. You're expected to notice what's slow, fix it, and build habits across the team to make the next quarter smoother than the last. Some of that is process design. A good portion of it is people — coaching, hiring, and keeping a remote team pointed in the same direction.

What You'll Be Doing

  • Lead a remote bookkeeping team working across QuickBooks Online, Xero, and FreshBooks, setting the standard for how the work gets done.
  • Identify repetitive or manual tasks and replace them with automation — Zapier flows, custom APIs, or dashboards the team will actually use.
  • Spot bottlenecks in client workflows and resolve them before they turn into bigger problems.
  • Set and maintain standards around compliance, data security, and accuracy across every client account.
  • Run training sessions, pilot new tools, and keep the team up to date on better ways of working.
  • Translate financial data into something clients can actually act on, not just a report they skim once and file away.
  • Coach individual bookkeepers — new hires and experienced staff alike — and give feedback that's specific enough to be useful.
  • Coordinate with operations, technology, and client support teams so new processes actually stick once they're rolled out.

Qualifications

  • Experience: At least 5 years in accounting, bookkeeping, or financial operations, including time spent leading or managing a team.
  • Education: Bachelor's degree in a relevant field.
  • A track record of building or improving processes using cloud-based accounting and automation tools.
  • Experience hiring, training, or scaling a remote team, ideally across multiple time zones.
  • The ability to explain a process change in plain terms — to a client who's never opened QuickBooks and to a teammate who's used it for years.
  • Comfort working across time zones and with teams or clients from different regions.

Nice to Have

  • Familiarity with reporting and analytics tools such as Google Sheets or Excel used for fast, client-facing decisions.
  • Prior experience in a client-facing leadership role within a virtual or remote-first company.
