Job Description:
As a Receptionist, you will be the first point of contact for our organization, responsible for creating a positive and welcoming experience for visitors, clients, and employees alike. Your primary duties will include:
1. Greeting Visitors: Welcome guests with a warm and friendly demeanor, ensuring they feel valued and comfortable from the moment they step through the door.
2. Answering Inquiries: Respond promptly and professionally to incoming calls, emails, and in-person inquiries, providing accurate information and directing queries to the appropriate departments or individuals.
3. Managing Appointments: Schedule appointments and meetings, maintaining organized calendars to ensure efficient use of time and resources.
4. Handling Correspondence: Sort and distribute incoming mail and packages and prepare outgoing mail and shipments as needed.
5. Maintaining Reception Area: Keep the reception area tidy and presentable, ensuring a clean and professional environment at all times.
6. Administrative Support: Provide administrative assistance to various departments, including typing, filing, photocopying, and data entry tasks.
7. Assisting Visitors: Escort visitors to meeting rooms, provide them with necessary information or materials, and notify relevant personnel of their arrival.
8. Upholding Security Protocols: Monitor and control access to the premises, verifying the identity of visitors and enforcing security procedures as required.
9. Collaborating with Team: Work closely with colleagues across departments to facilitate smooth communication and workflow within the organization.
10. Resolving Issues: Address any concerns or complaints from visitors or employees promptly and professionally, striving to find satisfactory resolutions.
Qualifications:
- Education: High school diploma or equivalent qualification required. Additional certification or training in office administration or hospitality management is a plus.
- Experience: Previous experience in a customer service or administrative role is desirable but not mandatory. Freshers are encouraged to apply.
- Communication Skills: Excellent verbal and written communication skills in English and Hindi are essential. The ability to speak additional languages is an advantage.
