Key Responsibilities:
As a Receptionist, you will be the face of our organization, responsible for creating a positive first impression for visitors, clients, and employees. Your primary responsibilities will include:
- Welcoming Visitors: Greet visitors courteously and professionally, ascertain their purpose of visit, and direct them to the appropriate person or department.
- Answering Inquiries: Respond to inquiries via phone, email, and in person promptly and courteously. Provide accurate information or direct inquiries to the relevant department or individual.
- Managing Calls: Handle incoming calls, route them to the appropriate person or department, take messages, and ensure timely follow-up.
- Scheduling Appointments: Efficiently manage the appointment calendar, and schedule meetings, and appointments for executives or staff members as required.
- Maintaining Records: Maintain and update visitor logs, employee directories, and other relevant records. Ensure the accuracy and confidentiality of all information.
- Handling Correspondence: Sort and distribute incoming mail and packages. Assist in drafting and sending out correspondence as needed.
- Providing Administrative Support: Assist with various administrative tasks such as data entry, filing, photocopying, and scanning documents.
- Ensuring Office Security: Monitor access to the premises, issue visitor badges, and enforce security protocols to ensure the safety and security of employees and visitors.
Requirements:
- Education: Minimum high school diploma or equivalent. Additional certification in office administration or related fields is a plus.
- Experience: Freshers are encouraged to apply. Prior experience in a receptionist or customer service role is advantageous.
- Communication Skills: Excellent verbal and written communication skills in English and Hindi/Punjabi. Ability to communicate effectively with diverse individuals.
- Interpersonal Skills: Friendly, courteous, and professional demeanor. Ability to interact positively with visitors, clients, and colleagues.
- Organizational Skills: Strong organizational and multitasking abilities. Ability to prioritize tasks and manage time efficiently in a fast-paced environment.
- Computer Proficiency: Basic proficiency in MS Office (Word, Excel, Outlook). Experience with office equipment such as multi-line phone systems is preferred.
- Adaptability: Willingness to learn and adapt to new procedures and technologies. Ability to work independently as well as part of a team.
