Key Responsibilities:
- Greet and Assist Visitors: Warmly welcome visitors, clients, and employees as they arrive, ensuring they feel valued and attended to. Provide necessary assistance, such as issuing visitor badges and directing them to the appropriate person or department.
- Answer and Direct Calls: Manage a multi-line telephone system efficiently, directing calls to the appropriate recipients or taking messages accurately. Handle inquiries with professionalism and courtesy, providing information as needed.
- Schedule Appointments: Coordinate appointments and meetings, managing calendars effectively. Ensure that appointments are scheduled promptly and communicate any changes or updates promptly.
- Maintain Front Desk Operations: Keep the reception area organized and presentable at all times. Manage incoming and outgoing mail and packages efficiently, distributing them to the respective recipients.
- Handle Administrative Tasks: Assist with various administrative tasks, including data entry, filing, photocopying, and scanning documents. Support other departments as needed to ensure smooth workflow and operations.
- Provide Exceptional Customer Service: Listen attentively to customer inquiries and concerns, addressing them promptly and courteously. Strive to exceed customer expectations and leave a positive impression with every interaction.
- Adhere to Policies and Procedures: Follow established guidelines and protocols to maintain confidentiality, security, and professionalism in all interactions and transactions.
Qualifications:
- Education: High school diploma or equivalent. Additional certification in office administration or related fields is a plus.
- Experience: Prior experience in a customer service or administrative role is preferred but not required. Freshers are encouraged to apply.
